Financial Management
Our managed facilities receive first class financial management services from a qualified and experienced team
The combined financial skills of our Strata team are rare and invaluable for the delivery of these services. Our Finance Manager and Strata Accountant are CPA qualified with many years experience in the management of these types of accounts. This will provide sites with trusted advice and understanding, particularly in areas of budget setting, costs savings, funds management, accounts and annual financial statement preparation.

Management of liabilities, arrears and cashflow are critical to the effective running of a strata scheme. Timely and accurate reporting will be provided with information available to the Committee and owners on the portal in real time. Each meeting, the Committee will be presented with a complete set of accounts, including cashflow statements. Each report will provide detail on major variances or items worth noting.
Each year Clublinks conducts an independent audit, signed off by the Committee, to ensure it is true and correct.
Meetings
AGM’s and Committee Meetings
AGM’s and Committee Meetings provide the ability to deliver the legislative requirements of an Owners Corporation, as well as an opportunity to engage with owners and key stakeholders in the community.
We encourage attendance and feedback from owners at AGMs as it provides further guidance into the elements that this vital stakeholder finds important.
The tasks involved in the meetings will include taking and providing minutes, chairing meetings where required and issuing notices of meetings. Significant time will be provided building a rapport with the committee members to develop a partnership approach to delivering outcomes.
Onsite Attendance
Onsite attendance empowers us to build a strong rapport with owners and occupants
Our managed facilities will benefit from our attendance onsite as required. We see this as a great opportunity to build a strong rapport with owners and occupants. Initially we will spend a full day per month and may continue with this, subject to review with the Committee.
We have enjoyed great success from hosting ‘pop-up’ information sessions at a number of our sites as a means of providing the community with the opportunity to gain information and ask questions regarding their community.
These sessions are designed to enable our strata team to be available on site to handle facility and resident queries, discuss and work through any compliance or financial issues as well as assist the Committee with their responsibilities (outside of meetings).
Each pop-up session would occur on the same day as the monthly committee meeting to be held at sites.
Insurance
Coverage & risk management
Our managed facilities will benefit from Clublinks’ role as an authorised representative of various Insurance Brokers, and our ability to access a wide market of strata insurance providers.
Adequate insurance coverage is important for sites to ensure risks are managed at reasonable costs.
Our services will include finding the best cover, arranging insurance valuations as needed and promptly processing insurance claims.
Software and Owners Portal
Urbanise Strata Management
Our managed facilities have access to Australia’s leading strata software, Urbanise Strata Management (“Urbanise”) available for use. Clublinks is pleased to provide this software as a part of our management.
The back of office compliance and accounting software is cloud based and shares its data with the MyCommunity owners’ portal. Financial information and documents are available in real-time and access is customised for the committee and owner groups, and is available via mobile phone, tablet and/or desktop.
Debt Collection
Advanced debt management processes
Sites’ cash flow will benefit from Clublinks’ advanced debt management processes. Clublinks’ goal at all sites is to keep arrears below industry best practise (currently at 5%).
Our fees for debt collection are kept to a minimum and are recovered from the owner in default.
